• Your legal first and last name (kept strictly private — never shown publicly; used for identity verification and account administration purposes only)
• Your date of birth (used for account administration; never displayed publicly)
• Your email address (used for account verification, security notifications, and optional announcements)
• Your timezone (used to display time-relevant information correctly)
• Your Steam name and Steam User ID (collected during department applications; used to verify in-game identity on the County Life Roleplay FiveM server)
• Your Discord username (if you choose to link your Discord account)
• Application answers you submit when applying to a department or career role, including any information you voluntarily provide in those answers

2.2 Information Collected Automatically

When you use the Service, we automatically collect:

• Session data, including your IP address and browser/device information (user-agent string), collected when you log in and stored to identify your active sessions
• Activity data used to power the experience point (XP) system, such as login timestamps, pages visited, and specific actions taken (e.g. checking server status). This data is stored as an event log associated with your account.
• Standard server logs, which may include your IP address, browser type, pages accessed, and timestamps

2.3 Information We Do Not Collect

We do not collect payment card information directly. If paid features are introduced in the future, payment processing will be handled by a third-party payment provider, and we will update this policy accordingly.

We use your information to:

• Create and manage your account
• Verify your identity and secure your account (including sending security alerts you cannot disable, because they exist to protect you)
• Process and review department and career applications
• Operate the XP and leveling system, which tracks certain in-service activity
• Send you transactional emails (account verification, security notifications, and welcome messages)
• Send you optional news and announcement emails (you can opt out via your notification preferences)
• Display your public profile to other members, subject to your privacy settings
• Comply with our legal obligations

We do not sell your personal information to third parties. We do not use your information for advertising purposes.

Your legal first and last name are treated with heightened care. They are:

• Stored in our database with access restricted to system administrators only
• Never displayed publicly anywhere on the Service
• Never included in responses to other users or staff members (staff see your username and account ID, not your legal name)
• Collected for the purpose of account integrity and identity administration, and for no other purpose

Depending on your location, you may have rights regarding your personal information, including the rights of access, rectification, erasure, data portability, and objection. See the clauses below for details on exercising these rights.

We retain your personal information for as long as your account is active. If you request account deletion, we will delete or anonymize your personal information, except where retention is required by law or for legitimate operational purposes.

Session data is retained for the duration of active sessions and deleted upon logout or session expiration. XP event logs are retained for the life of your account.

Your data is stored on servers provided by Turso (a database infrastructure provider). We implement reasonable technical and organizational measures to protect your personal information, including:

• Passwords hashed using the argon2id algorithm — we never store plaintext passwords
• Signed, httpOnly session cookies
• Encrypted connections (HTTPS) for all data in transit

No system is completely secure. If you believe your account has been compromised, contact us immediately.

We use the following third-party services that may process your data:

• Turso — database storage (your account data, applications, and activity are stored here)
• Discord— if you link your Discord account, your Discord username is stored by us. Your use of Discord is subject to Discord's own Privacy Policy.
• FiveM/Cfx.re— the game platform County Life Roleplay operates on. Connecting to our game server is subject to FiveM's Terms of Service.
• Email delivery — we use SMTP-based email delivery to send transactional emails. Email delivery providers may process your email address.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated “Last Updated” date at the top of this document. We will notify registered members of significant changes via email or in-app notification where practicable.
